Invoices overview
What the Invoices section does — the list page, summary totals, List and Calendar views, the statuses an invoice moves through, and the plan limits.
Updated 23 June 2026
The Invoices section is where you raise bills for your clients and track what they owe. Create an invoice by hand or from an accepted quote, email a PDF to your client, and watch each invoice move from Draft to Paid.
This page covers the list page and the statuses an invoice passes through. To build one, see Create and send an invoice. For preliminary documents, see Proformas.
Open the Invoices page
Click Invoices in the left sidebar to see every invoice your studio has raised.
Read the summary totals
Three cards across the top of the page total your invoices at a glance:
- Outstanding — the total of invoices you have sent but not yet been paid for
- Overdue — the total of sent invoices that have passed their due date
- Paid — the total of invoices marked Paid
These figures cover every invoice in your studio, not only the page you are looking at.
Filter and search the list
Narrow the list to find one invoice or one group:
- Filter by status — show only Draft, Sent, Viewed, Paid, Overdue, or Void invoices
- Filter by client — show only invoices for one client
- Filter by project — show only invoices tied to one project
- Filter by date — set a start and end date to show invoices raised in that window
- Search — type an invoice number, a reference, or a purchase-order number
Switch to the Calendar view
Two buttons above the list switch between List and Calendar. The Calendar view plots each invoice on its due date in a month grid, so you can see which invoices fall due in the same week.
The Calendar view is month-only — there is no week or day view.
The statuses an invoice moves through
Every invoice carries one status. The status controls which actions you can take on it.
| Status | What it means | Set by |
|---|---|---|
| Draft | Saved but not sent. You can still edit every field. | You, when you save |
| Sent | Marked as sent, or emailed to the client. The invoice is locked. | You, when you send |
| Viewed | Your client has opened the invoice through their portal link. | Your client opening it |
| Paid | You have marked the invoice paid. | You, when payment arrives |
| Overdue | Sent, past its due date, and still unpaid. | Set on its own once the due date passes |
| Void | Cancelled. It stays in the list for your records and drops out of the totals. | You, when you void it |
A few rules follow from these statuses:
- Only Draft invoices can be edited. Once an invoice is sent, edit it by voiding it and raising a new one.
- Only Draft and Void invoices can be deleted. A sent, viewed, paid, or overdue invoice cannot be deleted — void it instead.
- Overdue is set on its own. You never set it by hand; it appears once a sent invoice passes its due date unpaid.
- Viewed comes from your client. It is set when your client opens the invoice through the link you emailed, not by anything you do.
See Invoice statuses and actions for marking an invoice paid or voiding it.
What the totals leave out
The summary totals and the statuses cover invoices your studio raises. They do not include:
- No card or bank payment. There is no pay button in the client email and no payment provider connected. Your client pays you by your usual method, and you mark the invoice paid.
- No automatic client reminders. When an invoice goes overdue, the reminder email goes to your studio, not to your client. See Invoice settings.
Plan limits
The number of invoices you can raise each month depends on your plan.
| Plan | Invoices |
|---|---|
| Free | 1 |
| Lite | Unlimited |
| Pro | Unlimited |
| Enterprise | Unlimited |
Two things do not count toward the Free limit:
- Proformas are unlimited on every plan. Raising a proforma never uses an invoice slot. Converting one to a real invoice does. See Proformas.
- Drafts and voids still count. Voiding an invoice does not return the slot, so you cannot void and re-raise to get around the limit.
