Sending a proposal to a client

Preview a proposal, send it as a private link, resend it, download a PDF, track when the client opens it, and turn an accepted proposal into an invoice.

When a proposal is ready, you send the client a private link they open to accept or decline. This page covers the actions on a proposal's own page — preview, send, resend, PDF, and what you see once the client responds.

Open a proposal from the My Proposals tab. Its action buttons sit across the top of the page.

Preview what the client will see

Before you send, click Preview to open the client's review page exactly as they'll see it — cover image, line items, packages, and the accept and decline buttons. Nothing is sent; this is your own view.

Download a PDF

Click PDF to download the proposal as an A4 PDF. The file generates when you click and downloads to your computer.

Send the proposal

Click Send to client to open the send dialog. iMeshh Pro never sends to a client on its own — you confirm each send here.

In the dialog:

  1. Check the Recipient email. It's pre-filled from the contact on the proposal — edit it to send to someone else.
  2. Set a Valid until date if you want the proposal to expire. After that date the client can no longer accept it. Leave it blank for no expiry.
  3. Read the Subject and Body preview to see the email the client will receive.
  4. Type an Optional message to add a line to the email body, up to 2000 characters.
  5. Click Send to client.

The client gets an email with a link to their review page. The proposal moves to the Sent status.

Resend a proposal

For a proposal already in the Sent status, the button reads Resend to client. Click it to open the same dialog and send the client a new link — for example after they've lost the email. Any earlier link stops working once you resend.

See when the client opens it

Once the client opens their link, an Engagement card appears on the proposal page.

The card shows Last opened, how many times the client has viewed it, and when they First opened it. Use it to decide whether to follow up. The card appears only after the client has actually opened the link.

When a proposal is accepted

When the client accepts, the proposal moves to the Accepted status and an Accepted by client card appears.

The card records:

  • Signed by — who accepted, and the date
  • Picked package — which package the client chose, if the proposal offered more than one
  • Plus add-ons — any optional line items the client opted into
  • Agreed total — the final amount the client committed to

Turn an accepted proposal into an invoice

Once a proposal is accepted, click Create Invoice to draft an invoice from it. The invoice opens pre-filled with the agreed amount — the package the client picked plus any add-ons.

After you create the invoice, the proposal's status becomes Converted. This is the final status — a converted proposal can't be sent again. See Invoices for what happens next.
